How do I send the Love of Workplace Index Pulse Validation survey to my employees?

The recommended way to send the survey to employees is to use the Most Loved Workplace email system to distribute the confidential survey to your employees. This will provide you with added benefits to request the survey results and data through an API into your own HRIS system to append additional demographic filtering and analysis*.


Follow the following steps to distribute the Love of Workplace Index to your employees:


1. You must have first created your Pulse Validation survey. If you have not yet done that, click here for instructions


2. Once you have an active Pulse Validation survey open, click on the "Manage Employees" button, located on the right side of the navy blue section of the page. 

3. Download the .csv template, which will include the tag needed to upload your list of email addresses. (NOTE: your .csv file must include the "email_employee" tag in cell A1 of the .csv upload) 

4. Attach the list by clicking the "Browse" buttton. Once the list is attached click the "Import All" button.

5. You will now see your emails. To edit and send the survey, click the "Edit Email" button

6. Make any edits to the email and then click "Save". (NOTE: make sure not to delete the red "Take Survey" button in the body of the email, as that will embed the survey URL for each employee.)

7. Once you have saved the email, you must select the employees you wish to send the survey to. You can send to everyone by clicking the "Select All" button, or select individual email addresses to send to if you wish. 


8. Click the "Send Email" button

You will know your email has sent if there is a date and time in the "Date Sent" column as seen here -

9. When a survey is completed, you will see a date and time in the "Survey Status" button. Once that employee has completed the survey, they will no longer receive any additional emails from this system. 


You can send reminder emails to all employees who have not yet completed the survey at any time. Click the "Edit Reminder" email and follow steps 5-8 above.

FAQs


Can I add more employees to the list once the survey has been distributed? 


Yes, just follow the same process as above. If there is anyone who has not received the survey email and has a red "Not Sent" in the date sent column, they will receive the original email. (NOTE: if anyone on the list is marked as Not Sent, they will be the only ones who receive the email. Reminders can only be sent once everyone on the list has received that initial survey email)


One of my employees said they didn't complete the survey, but they are marked as submitted in the survey status column, can I resent the email to them?


Occasionally, an employee may show as submitted when they haven't yet completed the survey. In that case, that employee must be cleared from the system and re-uploaded to the list. If this happens, please start a support ticket, and someone will get back to you within 12 hours.


Will the system prevent duplicates from being added?


Yes, the system will automatically remove duplicate emails to ensure that an employee only receives the email once. In addition, if you upload additional emails later, any duplicates will be automatically removed.
